Approved for Spring Break Extension

We understand that the events of the past few days have been challenging and we appreciate your flexibility as we work together during this time of national crisis. We are writing to give you an update regarding closing the residence halls for the spring semester. 

Knowing that face-to-face classes will not resume this spring, we encourage students who have been approved for the extended spring break to check-out and return home as soon as possible. We are asking students to check-out in an express check-out format.

▼   Students Who Are Unable to Check-Out
We understand that some of our students from outside of the United States or students who are experiencing an extreme hardship may be unable to return home at this time. Therefore, international students and students experiencing extreme hardships are allowed to remain in the residence halls until their requested approved date or unless circumstances warrant otherwise. Please understand that we are doing our best to follow CDC guidance; therefore, Housing will provide extremely limited hours and services to students during this time. In keeping with this guidance, many of our student employees have returned home to be with their families and much of the professional staff will be working remotely.
▼   Dining
The dining hall will remain open for use of meal plan through May 7th. You can find the dining hall serving times here. Students who are quarantined may send an email to housing@southalabama.edu before 4:00 p.m. daily to request a friend pick-up their meals or a meal delivery for the following day.
▼   Prorates & Adjustments
Students will receive a prorated adjusted credit for spring housing and unused meals /bonus bucks based on the date of their check-out. Housing will process the adjustment to the student account after the check-out is complete. Please be advised that the adjusted credit, minus any charges, will be applied to the student account within 45-60 days of completing the checkout process. Please direct questions regarding housing and meal charges to housing@southalabama.edu.
▼   Social Distancing Policy

Housing has implemented a strict policy regarding social distancing for those students who remain in the residence halls. Students may not gather in groups of more than 4 students at a time. If students are in violation of this policy, they will be removed from the residence halls immediately.

▼   Relocation
Over the days and weeks to come, students who are approved to remain may be moved to a different residence hall during this time. If a student needs to be relocated to a different residence hall they will be contacted via email by their Community Director or Area Coordinator. If relocated, students will not incur additional charges or credits for the room. All rooms will be cleaned and sanitized prior to the new assignment. 


 Students must take the following actions to complete the check-out process:

  • Read the detailed check-out instructions below.
  • Retrieve the express check-out form.
  • Remove all of your belongings from your room.
  • Return your room key to the Delta Commons.

Important Information: 

Please have your university ID available at all times as it may be requested as you navigate campus. Also, please be aware that there are currently only two campus entrances open at this time – South Drive and Jaguar Blvd. (formally Stadium Drive).

All students must check-out of the residence halls by May 8, 2020 at 12:00 p.m. (noon).

Please follow the steps below to complete the residence-hall check-out:

  • Step 1: An express check-out form and envelope has been placed in your room. Please complete the entire express check-out form as directed.

  • Step 2: Place the completed express check-out form and your room key inside the provided envelope. Please be sure to seal the envelope.

  • Step 3: Take your envelope to the Delta Commons building and place it in the designated key drop slot.

    • The key drop location will be on the side of Delta Commons building closest to Camellia Hall (same building as the Delta Deli). Look for the yellow signage that will indicate the drop off location.


FAQs: 

▼   Will I receive a credit for unused housing and meals?
Housing and meal plan charges will be prorated based on the date that you check-out of your room.
▼   When will the credit be reflected on my student account? 

All credits will be assessed after the check-out is complete.  The adjustment should be visible on your student account 45-60 days after you check out of your room and return your key.

▼   What will happen to the credit?

Any credit to the student account will be assessed according to the policies and/or federal regulations of the original method of payment. For additional information, please contact the Office of Student Accounting via email at studentaccounting@southalabama.edu.

▼    What can I do with my unwanted belongings?

As you pack up to check-out, please consider donating. USA Housing is partnering with America's Thrift Store to provide students the opportunity to give back. Donation bins are placed throughout Housing for your convenience. Donatable items include clothing, household objects and furniture.
